Many retreat venues spend a huge amount of time trying to attract new hosts.
New collaborations.
New retreat leaders.
New marketing strategies.
New visibility.
But in conversations I’ve had recently with retreat venue owners struggling to fill their calendars, one thing stood out to me: Their retreat host retention was surprisingly low.
And that’s where I believe many venues are missing a huge opportunity.
Because a retreat doesn’t end when the host leaves. At least, it shouldn’t.
The most valuable hosts are the ones you can build a connection with and will with the right support from you as the venue holder come back again and again and again.
A returning retreat hosts is so valuable because it offers you:
- Yearly Return
- Can bring multiple groups
- Recommend your venue to others,
- Fill shoulder season dates
and become part of the long-term ecosystem of your business.
That kind of relationship creates something incredibly valuable in your business: predictability, trust, and emotional connection.
Yet many venues can unintentionally treat retreat collaborations as transactional.
The retreat finishes.
The invoice gets sent.
And communication disappears or sometimes gets rekindled with a general newsletter sharing your latest update. But that is not enough.
If you like to build true relationships with your host and like to improve your host retention make sure you implement these simple steps:
Create a thoughtful post-retreat follow-up process. A genuine check it and follow up.
Ask for honest feedback and reflections,
Schedule a short debrief call
Offer priority access to next year’s dates before public release,
Create meaningful returning-host benefits,
or offer thoughtful extras for their guests.
Importantly: this does not always have to mean discounting.
In fact, many retreat leaders value thoughtful partnership far more than a cheaper rate.
It could be:
- Complimentary sauna sessions for guests,
- A welcome dinner for returning groups,
- Added support during the retreat,
- Or simply more personalised communication and flexibility.
The key is making hosts feel genuinely valued.
Because returning hosts improve far more than just revenue. Over time, you really get to know them — their rhythm, their guests, their preferences, and the kind of experience they want to create. This allows you to build a much more refined and personalised retreat experience for both the host and their guests.
And honestly? That is where retreat hospitality becomes enjoyable, easeful, and sustainable for everyone involved.
A strong retreat venue should not have to constantly search for entirely new hosts year after year. Ideally, around 40–60% of your calendar should be filled with returning hosts, and for venues with exceptional relationships and systems in place, this can even grow to 80%.
Especially when:
- logistics feel easy
- communication is smooth
- guests leave happy
- and hosts feel emotionally supported and appreciated.
Because when retreat leaders feel truly held by a venue, they rarely want to start from scratch somewhere else.
So returning hosts are really important for your business and make your life running a succesfull venue a lot less stressful whilst creating deep and meaningful relationships.
